1. Introduction

Welcome to LetterboxPRO Teams ("the Website"), a service provided by Letterbox Pro Ltd. By registering, accessing, or using the Website (available at leaflettracking.co.uk), you agree to comply with these terms and conditions ("Terms"). If you do not agree with any part of the Terms, you may not use the Website.

2. Registration and Account

• To access the services provided by the Website, you must register an account. You are responsible for maintaining the confidentiality of your login information and all activities under your account.
• You agree to provide accurate and up-to-date information during registration and to promptly update this information if it changes.

3. Services

The Website offers a range of services, including but not limited to:

• GPS tracking of distributors, updated every 5 seconds.
• Viewing live distributions and sharing live links with clients.
• Creating and managing Zones, Boundary Plans, and Campaigns for distribution activities.
• Calculation of property counts (residential, multi-occupancy, or commercial) within designated areas.
• Uploading leaflets and assigning them to specific Campaigns for monitoring.
• Management of distributors, clients, and system settings.

4. Use of GPS Tracking

• The GPS tracking system reports the location of distributors at intervals of approximately 5 seconds. The accuracy of GPS data may be affected by various factors, including but not limited to geographic and environmental conditions.
• You are responsible for ensuring that your distributors consent to GPS tracking and that the tracking system is used in compliance with applicable laws and regulations.

5. Client and Distributor Management

• You may create, manage, and assign distributors and clients within the system. It is your responsibility to ensure that all personal data of distributors and clients is processed in accordance with data protection laws, including the General Data Protection Regulation (GDPR).
• You agree not to use the system for any unlawful or unauthorized purposes.

6. Campaign and Distribution Scheduling

• You may create Campaigns by assigning Zones or Boundary Plans, along with distributors, clients, and leaflets.
• You are solely responsible for the accuracy of the information provided for Campaigns and for ensuring that all schedules, zones, and distributions comply with relevant regulations.

7. Property Calculations and Analysis

• The Website provides tools to estimate property counts (residential, multi-occupancy, and commercial) in designated areas. These counts are estimates and may not always reflect the exact number of properties in any given area.
• Various analysis and monitoring reports are provided for Campaign progress; however, Letterbox Pro Ltd does not guarantee the accuracy or completeness of these reports.

8. Intellectual Property

• All content on the Website, including text, images, software, and data, is owned by or licensed to Letterbox Pro Ltd. You may not reproduce, distribute, or modify any content without prior written consent.
• The Website may include features that allow you to upload and store documents (e.g., leaflets). You retain ownership of all uploaded content, but you grant Letterbox Pro Ltd a non-exclusive, royalty-free license to use this content as necessary to provide the services.

9. Data Protection and Privacy

• Letterbox Pro Ltd is committed to protecting your privacy. All personal data collected through the Website is processed in accordance with our Privacy Policy and applicable data protection laws, including the GDPR.
• As part of our services, certain personal data of distributors and clients may be shared with other parties as required (e.g., live links). You are responsible for ensuring that all data shared complies with data protection laws.

10. Fees and Payments

• Fees include the cost of the GPS Unit, SIM card data usage, and any ongoing subscriptions for Tracking Services. The tracking unit must be paid for upfront, and the customer does not have to purchase a tracking unit if they choose not to.
• Monthly service fees vary depending on the service selected, the number of GPS units, the Postcode Areas chosen, the use of commercial figures to calculate household counts, contract term, data storage, whether exporting links is required, and the use of the distribution scheduler.
• If payment is not received, the system will lock the customer out until payment has been made and verified.
• Letterbox Pro Ltd reserves the right to adjust fees with 30 days' notice.

11. Warranties and Limitation of Liability

• Letterbox Pro Ltd provides a 12-month warranty on the GPS unit. In the event of malfunction due to defects, Letterbox Pro Ltd will repair or replace the unit.
• Letterbox Pro Ltd will not be liable for any indirect or consequential loss, including loss of profits, arising from the use of the GPS Unit or the Tracking Services.
• Service interruptions due to external factors such as network outages, poor signal areas, or third-party provider failures are not covered by this warranty.

12. Termination

• Upon termination, the customer must cease using the GPS Unit's SIM card and return the unit if requested.
• Service fees remain payable up to the termination date, and any unpaid fees are subject to interest charges.
• The contract will roll over after the original term (whether 3 months, 6 months, or 12 months) with a 3-month notice period for termination.

13. SIM Card and Cellular Services

• The SIM card provided with the GPS unit is owned by Letterbox Pro Ltd.
• Customers agree to use the SIM card solely for data transmission through the GPS unit.
• Upon termination of services, customers must return or deactivate the SIM card as requested by Letterbox Pro Ltd.
• Letterbox Pro Ltd will not be responsible for service disruptions due to signal issues or external interference beyond its control.

14. Changes to the Terms

• Letterbox Pro Ltd may update these Terms from time to time. If any significant changes are made, you will be notified through the Website. Continued use of the Website after such changes will constitute your acceptance of the updated Terms.

15. Governing Law

• These Terms are governed by and construed in accordance with the laws of the United Kingdom. Any disputes arising from or related to these Terms shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
